Finance Specialist

Do you understand financial data well enough to spot when something is wrong — and care enough to dig until you find out why?

Are you as comfortable building a model or a dashboard as you are reading one?

Can you translate a messy spreadsheet, a QuickBooks report, and a commission schedule into a clean output that someone can make a decision from?

If this sounds like you, keep reading. If not, that’s okay — this role is not a fit, and that clarity is intentional.

Foundation is a remote B2B content marketing agency helping SaaS and Higher Ed clients grow through SEO, content, and strategic distribution. We work with ambitious brands that expect quality, consistency, and attention to detail.

Why This Role Exists

Foundation’s financial infrastructure has been built by one person doing everything. That worked when the company was smaller. It doesn’t scale to where we’re going. This role exists to build and own the reporting and operational finance layer that the company runs on: the executive dashboard, the commission and KPI reports, etc. Not just reading these outputs — building them, maintaining them, and making sure they’re right. You’ll work closely with our Accountant and report to the COO. The person we’re looking for is part financial analyst, part systems builder, part operational support. If you want a job where you only read reports, this isn’t it. If you want to build the infrastructure that a fast-growing company runs its finances on, it is.

What We Are Looking For

Required
  • 3+ years in a finance, accounting, or financial operations role — you’ve owned real financial outputs, not just supported someone else’s
  • Hands-on QuickBooks experience — entries, AP, reconciliation, and pulling reports across multiple entities
  • Advanced Google Sheets — you build models and dashboards from scratch, not just read them. Formulas, structured data, clean layout.
  • Builder mindset — you see a manual, error-prone process and your instinct is to fix it, not work around it
  • High accuracy standard — commission calculations, labour allocations, and AP reconciliation need to be right. You catch your own errors.
  • AI fluency — comfortable using LLMs and AI tools to improve your own work, with sound judgment about when they help and when they don’t
  • Direct, proactive communicator — the team gets updates and flags without having to ask

Strong Asset
  • Experience in an agency or professional services environment — you understand billable rates, utilization, and project-based revenue
  • Experience building or maintaining executive-level dashboards or financial reporting tools
  • Familiarity with commission structures and variable compensation calculations
  • Exposure to multi-entity accounting or inter-company reconciliation
  • Experience with data visualization tools or lightweight BI (even Google Looker Studio counts)

What You'll Be Responsible For

Reporting and Dashboards
  • Build and maintain the executive financial dashboard — revenue, margin, headcount cost, and key ratios, updated on a defined cadence
  • Build and maintain the KPI dashboard and commissions reports across the business, calculating payouts accurately from source data each period, flagging anomalies before anyone has to ask
  • Build and maintain scenario forecast models (Base, Target, Stretch) as the business grows and assumptions change
  • Monitor and maintain the billable rate card — flagging when rates drift from approved levels and keeping it current as services evolve
  • Serve as the go-to data resource for the team on financial questions — consolidating financials for insurance renewals, grant applications, or investor requests without creating a bottleneck

Operational Finance
  • Support QuickBooks operations on the AP side: reviewing entries, spotting and investigating discrepancies, and keeping payables accurate across both company entities
  • Build and maintain a view of planned vs. actual expenses — flagging variances and following up when actuals don’t match budget
  • Run monthly labour allocation calculations and leadership variable compensation calculations
  • Support the Accountant on month-end close, ensuring the books are ready on time and the numbers tie out

What Success Looks Like

After 90 days:
  • Commission reports are being produced accurately and on time without the COO or Accountant doing the calculations
  • The executive dashboard and KPI dashboard are fully owned by you, live and being reviewed weekly
  • AP variance tracking is in place and discrepancies are being caught before they compound
  • The team knows to come to you for financial data requests

After One Year:
  • The full reporting suite — executive dashboard, KPI dashboard, commission reports, scenario models, rate card — is built, documented, and maintained by you
  • Month-end close runs smoothly with no surprises
  • The COO can pull any financial view of the business without waiting on anyone
