We’re looking for an Executive Marketing & Outreach Assistant to help amplify Foundation’s leadership presence on the global stage. You’ll coordinate high-impact opportunities — from speaking engagements and awards to strategic partnerships and social visibility — that strengthen our brand and extend our reach. You’ll work closely with our CEO to make big ideas happen, bringing structure, excellence, and follow-through to every detail that drives Foundation forward.
Core Responsibilities:
- Research and identify communities, executive roundtables, marketing associations, and industry groups (virtual and in-person) where leadership can speak.
- Conduct outreach to organizers to pitch leadership as a speaker, coordinate logistics, and confirm bookings.
- Maintain a speaker pipeline tracker in Airtable or Notion (with topics, deadlines, contacts, status).
- Support with presentation prep (bios, headshots, topic descriptions, and talk summaries).
- Identify relevant marketing, agency, leadership, and entrepreneurship awards (e.g., Content Marketing Awards, Adweek Fastest Growing Agencies, Globe & Mail Growth 500, etc.).
- Draft and submit award applications, collaborating with Foundation’s leadership and marketing teams for case study materials.
- Maintain a master list of awards with deadlines, eligibility, and submission criteria.
- Support scheduling, posting, and monitoring across LinkedIn, X (Twitter), and Instagram, based on Ross’s content drafts or pre-approved assets.
- Manage posting calendar (Notion, Buffer, or Later) and coordinate with design/copy teams for creative assets.
- Track engagement, performance, and repurpose high-performing posts into threads, carousels, or email content.
- Work closely with Ross’s Executive Assistant to handle complementary tasks:
- Draft outreach emails, follow-ups, and reminders.
- Manage recurring lists (speaking pipeline, award deadlines, media opportunities).
- Assist with admin tasks like booking travel for speaking gigs or coordinating media appearances.
- Be a second layer of execution — picking up projects or loose ends that free the EA to focus on higher-level coordination.
Ideal Candidate:
- 2–5 years experience in marketing, communications, PR, or executive assistance.
- Excellent written communication and organizational skills.
- Experience using tools like Notion, ClickUp, Google Workspace, and HubSpot (bonus).
- Comfortable reaching out cold to professional organizations and executives.
- Proactive, detail-oriented, and energized by fast-paced, entrepreneurial environments.
Success Metrics:
- Receive a 90%+ satisfaction rating from the CEO, EA, and Marketing team based on quarterly internal feedback on communication, reliability, and quality of work.
- Demonstrate proactive initiative by identifying and leading at least one process improvement or new opportunity per quarter that enhances visibility or efficiency.
- Build and maintain an up-to-date master database of award timelines, eligibility, and historical submissions to streamline future entries.
- Consistently maintain a pipeline of 20+ qualified opportunities for speaking engagements, roundtables, or partnerships each quarter.
- Achieve 3–5 confirmed speaking engagements per quarter that align with Foundation’s brand positioning and target audiences.
